Worldpay’s Business Support Centre in Manchester is responsible for supporting the business’s core operations. Situated in Spinningfields, we have a team of around 350 people who are predominantly finance based working in functions such as Operational Finance, Collections and Recoveries, Transaction Monitoring, Portfolio Management, Finance Applications, Financial Accounting and other project teams.

This role is crucial in supporting the Director of Financial Services who is in charge of the Business Support Centre to manage her diary and be recognised as main point of contact for administrative issue resolution for the senior members of the Business Support Centre.

Description

This role is fast-paced and demanding, requiring diligent attention to detail, impeccable time management skills, a high level of confidentiality and proactiveness, a flexible and committed work ethic and a great sense of humour. There is also an element of rolling up their sleeves up to get things done and delivered, looking ahead and managing the Director of Business Support appropriately.

Some of your duties will include but not be limited to

– Monitor and proactively manage email, using initiative to follow up on and monitor action points

– Diary management and planning, working with internal and external stakeholders & senior executive personal assistants

– Arranging meetings, telephone conferencing and webinars as and when required

– Engaging with internal and external stakeholders at all levels, both with and on behalf of Director of Business Support

– Maintaining and reviewing both short and long term to-do lists of action items; keeping the Director updated on all action items arising from meetings; following up on the completion of these items

– Complex travel arrangements and itineraries

– Coordination, planning, and execution of special events, including team off sites

– Document production using Word, Excel and PowerPoint

– Compiling and submitting expenses

– Co-ordinate induction/leaver process for the direct reports

– Monitor, record and proactively manage absence/illness, training, annual leave and ensure all authorisation/paperwork is being completed and is up to date across Senior staff who report directly to the Director

What will make you the ideal candidate?

To be successful in this role, you will need excellent communication skills to undertake stakeholder management and communicate effectively at all levels across the business, you will be proactive and be able to prioritise diaries and tasks so that the Director of Financial Services is able to effectively manage her to-do list with manageable time slots broken down into chunks. You will have initiative and problem solving ability to ensure that you can engage with stakeholders on behalf of the Director and act as a direct representative of her, your style of working will be flexible and proactive where you can work in a highly pressurised environment and prioritise work accordingly. You will be numerically literate with excellent Excel and PowerPoint skills, last but not the least, you will have a sense of humour and be able to take things in your stride within a challenging and fast paced business.
